Terms of Service

1. Acceptance of Terms
By accessing or using PTOFlow (the “Service”), you agree to be bound by these Terms of Service (“Terms”). If you are using PTOFlow on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.
2. Description of Service
PTOFlow is a team PTO (paid time off) management application that allows organizations to manage employee time off requests, approvals, balances, and team calendars. The Service integrates with Google Workspace and Slack.
3. Account Registration
You must sign in using a Google Workspace account. You are responsible for maintaining the security of your account and for all activities that occur under it. PTOFlow does not support personal Gmail accounts (accounts ending in @gmail.com).
Each organization that signs up receives a separate, isolated account. Admins may invite employees to join their organization's account.
4. Free Trial and Billing
New accounts receive a 14-day free trial with full access to all features. No credit card is required to start a trial. After the trial period, continued access requires a paid subscription.
Subscription fees are charged monthly or annually based on your selected plan. Prices are listed on the Service at the time of purchase. We reserve the right to change pricing with 30 days' notice to existing subscribers.
Refunds are handled on a case-by-case basis. Contact support@ptoflow.com with any billing questions.
5. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any regulations
- Attempt to gain unauthorized access to the Service or its related systems
- Interfere with or disrupt the integrity or performance of the Service
- Scrape, crawl, or extract data from the Service in an automated manner
- Impersonate any person or organization
6. Your Data
You retain ownership of all data you submit to PTOFlow (“Customer Data”). You grant PTOFlow a limited license to store and process your Customer Data solely to provide and improve the Service.
You are responsible for the accuracy of data entered into the Service and for ensuring you have the right to submit any data you provide (including employee personal information).
7. Third-Party Integrations
PTOFlow integrates with Google Workspace and Slack. Your use of those services is subject to their respective terms of service and privacy policies. PTOFlow is not responsible for the actions or policies of third-party services.
8. Intellectual Property
PTOFlow and its original content, features, and functionality are owned by Cherry Plum Studios, LLC and are protected by applicable intellectual property laws. You may not copy, modify, or distribute any part of the Service without our prior written consent.
9. Disclaimers
The Service is provided “as is” without warranties of any kind, either express or implied. We do not warrant that the Service will be uninterrupted, error-free, or free of harmful components.
PTOFlow is not a legal or HR compliance tool. It does not guarantee compliance with any labor laws, regulations, or company policies. You are responsible for ensuring your PTO policies comply with applicable laws.
10. Limitation of Liability
To the maximum extent permitted by law, PTOFlow shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service. Our total liability for any claim shall not exceed the amount you paid to us in the 12 months preceding the claim.
11. Termination
Either party may terminate the relationship at any time. Upon termination, your access to the Service will cease and your data will be deleted within 30 days. We reserve the right to suspend or terminate accounts that violate these Terms.
12. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes by email or within the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
13. Governing Law
These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles.
